電子郵件是辦公室日常工作中不可缺少的一部分,我們每天都會發(fā)郵件,而且會發(fā)好幾封甚至更多。但你真的會正確地寫郵件嗎?從格式、結(jié)構(gòu),到語氣、表達,其實有很多需要調(diào)整和改進的地方。這一期咱們就來系統(tǒng)地學習一下英文電子郵件的寫法,對改進中文郵件的寫作也同樣有效哦!

1. I am writing to

商務電子郵件其實就像一個漢堡包,它由3個部分構(gòu)成:導語(Introduction)+正文(Body)+結(jié)束語(Closing)。

I am writing to通常出現(xiàn)在郵件正文的第一句,它是用來說明郵件目的最簡潔的方式,畢竟,在商務電子郵件中,簡潔明了是最好的美德。

當你想請求別人幫助時,你可以這么說:

I am writing to request a favor / I am writing to ask for advice.

來看個例子:

Hi Harry,

I am writing to ask for advice, could you give me your opinion on whether we should proceed with the project we discussed yesterday?

Regards,

Tom

(你好,哈里!我想尋求你的建議,關(guān)于昨天我們討論的項目,你覺得還有繼續(xù)進行的必要么?祝好!湯姆)

2. Greeting from Beijing

商務電子郵件、公司同事之間發(fā)送的電子郵件,開頭部分要開門見山,直奔主題。不過,為了使郵件看起來友好一點,我們也會用問候語開頭,比如:

Greeting from Beijing. (我在北京問候您)

Hello from Colors City. (來自色彩城市的問候)

I trust you are doing well. (我相信你最近過得很好)

I hope things are going well with you. (我希望您事事順利)

Dear Jack,

How is everything these day? I just transferred to Beijing branch as a marketing manager, thanks for helping me in the past year.

3. Best regard

商務電子郵件的結(jié)尾會使用敬語,雖然它沒有什么特殊的含義,但在郵件末尾部分卻是必不可少的,就像我們平常說的“謝謝了”、“您辛苦了”等來結(jié)束郵件一樣。

如果關(guān)系比較親密,可以用:Regards/Best Regards/Warm Regards。

如果想顯得親切一點,可以用:Sincerely/Sincerely yours/With best regards。

比較正式的結(jié)尾,可以用:Yours truly/Respectfully。

4. Appreciate

感謝是我們商務郵件中經(jīng)常要做的事情。

這種情況下我們可以用Thanks for,比如:

Thanks for helping me with the project.?

(感謝您在這個項目上給我的幫助)

同時,我們更可以使用appreciate,這個詞聽起來更加尊重人,比如:

I appreciate the welcome you gave our president last week.

(感謝上周您對我們董事長的款待。)

Hello Steve,

I was wondering if you could do me a favor. Could you send me the name and telephone number of your contact at Wilson Technologies?

Your cooperation would be greatly appreciated.

5. Wound it be possible to

工作嘛,簡單說就是互幫互助。

在商務電子郵件中,當我們想簡單請別人做一件事,可以用Could,比如:

Could I get an extension on the schedule?

(我可以延后一下日程么?)

但要是請求對方給予許可或協(xié)助時,就要用Would it be possible to了(或者簡單一點直接用If possible),比如:

Would it be possible for me to get more information?

(我可以得到更多信息么?)

Dear Cook,

I am sorry about the short notice, but because of an emergency meeting I need to attend, our appointment has to be changed,would it be possible to reschedule it to this Friday?

6. Deserve this promotion

當合作伙伴晉升,深諳商業(yè)胡吹之道的我們當然要第一時間發(fā)郵件祝賀了。

一般來說,這樣的郵件盡量使用正式的語氣,傳遞發(fā)自內(nèi)心的真情實感,郵件內(nèi)容也不宜過長。常用的祝賀語有:

You definitely deserved this promotion.

(這次晉升機會是你應得的。)

I can’t think of a better person for this job.

(沒有人比你更適合那個職位。)

Congratulations on your new position as a senior researcher.

(祝賀你晉升為高級研究員。)

來看個例子,

Dear Stephen,

Congratulations on your new position as general manager of the Asian Region. With your vast experience in Asia, I can’t think of a better person to head the region.

Warmest regards,

7. Continued support?

當你職務晉升時,你就要知道,這是因為肯幫你的人很多,這時你就要發(fā)郵件感謝合作伙伴的【持續(xù)幫助】了——continued support。你可以這么說:

As always, thank you for your continued support.

(我一如既往地感謝你對我的支持。)

當然,你也可以繼續(xù)請求他人接著支持你,比如:

I look forward to your continued support and patronage.

(我希望您能繼續(xù)支持我。)

I will be transferred to the Chicago branch as sales manager, Tom will be taking over me and he will be in touch with you soon. Your continued support will be greatly appreciated.

8. Apologize for

如果我們工作上有了失誤,或者回復對方郵件不夠及時,正確的做法就是及時道歉,盡量解釋清楚原因,使得對方能夠接受。你可以說:

I am sorry I could not respond sooner, you won’t believe how busy I’ve been.

(很抱歉沒有及時回復,你不會相信我一直多么忙。)

你也可以這么說:

I apologize for my behavior yesterday, there is no excuse for such an error.

(我為我昨天的行為道歉,對于這種錯誤沒有任何借口。)

Your disappointment with delayed delivery is completely understandable. We are sorry about the unexpected inconvenience to your company.

9. Be given your e-mail address by

在商務活動中,很多新朋友都是老朋友介紹認識的。

當我們從朋友那里拿到意向人的聯(lián)系方式時,在郵件開頭要提及一下,這樣顯得有禮貌,也可以拉一下交情。你可以這么說:

I was given your e-mail address by Mr. Johnson.

(我從約翰遜先生那里獲得你的郵箱地址。)

或者簡單一點說:

I was referred to you by Mr. Johnson.

我們來看個例子,

Dear David,

My name is Smith and I am in charge of marketing at XYZ Co. I was given your e-mail address by a common acquaintance of ours, Mr. Johnson.

10. ASAP/RSVP/FYI

在商務電子郵件中,有一些縮寫我們是必須要知道的,因為它們是高頻詞匯,不知道它們會影響我們正常的溝通。比如:ASAP/RSVP/FYI。

ASAP是as soon as possible的縮寫,意思是“盡快”;

RSVP是法語的縮寫詞,意思是“敬請回復”;

而FYI是for your information的縮寫詞,意思是“供您參考”。

不過在商務電子郵件中,我們最好慎用縮寫詞,因為許多新造詞還沒有得到普及使用。

I will arrive Beijing tomorrow morning, please book a hotel room for me ASAP.

11.Schedule permits

在商務活動中,我們時常要邀請他人參加一些聚餐和活動,聯(lián)絡聯(lián)絡感情。

比如,邀請他人吃晚飯你可以這么說:

Are you free on Tuesday to join us for dinner?

(你周四有空跟我們一起吃晚飯么?)

或者正式一點,你可以這么說:

If your schedule permits, I would like to have lunch with you on Friday.

(如果你時間允許的話,我想周五跟你吃個午飯。)

當然,我們也要邀請別人來參加公司活動,來看個例子:

Dear Mr. Hansen:

You are cordially invited to attend the grand opening of the New Word Mall in Haidian as our VIP guest.

We look forward to having you join us for this exciting celebration.

12. Return the favor

這里有一個商務電子郵件小技巧,那就是:無論郵件內(nèi)容是好的還是壞的,在郵件的結(jié)束語我們最好積極展望一下雙方以后的來往,這是一種禮貌的做法。

我們可以這么說:

If you have any questions, I’d be glad to answer them.

(如有任何疑問,我都很樂意為您解答。)

I hope that we have adequately addressed your concerns.

(希望我們已經(jīng)為您解除了顧慮。)

Let me know if I can return the favor in some way.

(請告訴我是否可以通過某種方式報答您的幫助。)

I can’t wait to see you.

(我迫不及待跟您見面。)

這就是我們常說的導語部分要親切,結(jié)束語部分要積極。

13. Request for a quote

當我們跟商務合作伙伴聊得差不多的時候,就該談到錢了,這時候我們需要對方提供報價——request for a quote.(quote就是報價的意思)

我們可以這么說:

Please send us the quotation for the logo design by October 31.

(請在10月31日之前發(fā)給我們你們的logo設(shè)計報價。)

當我們收到報價請求后,可以這么回復:

We are delighted to know that you are interested in our product. Our quotation is as follows:

(我們很高興你對我們的產(chǎn)品感興趣,我們的報價如下。)

14.Place an order

昨天我們說到跟合作伙伴索要報價單,如果一切順利,接下來就是下訂單了!

Place an order就是訂貨、開訂單的意思,商務電子郵件中我們可以這么說:

I would like to place an order for the following:

(我想訂購下列貨物。)

你也可以這么說:

Please accept my order for the following textbooks:

(請接受我訂購以下教科書的訂單。)

我們來看個例子,

Dear Jackson,

I would like to order the following items:

I hope that you will ship the items immediately.

15. Strategic partnership

在商務活動中,我們時常要跟對方提議合作。你可以這么說:

We are impressed with your brand and would like to become a franchisee of your restaurant concept.

(我們對你的品牌印象深刻,想成為你們餐廳理念的特許使用人。)

當然,你還需要提及雙方合作可以獲得的利益,比如:?

Because we are familiar with the market here, we can assist you in formulating the right strategy for China.

(我們熟悉這里的市場,可以幫你制定合適的中國戰(zhàn)略。)

如果雙方非常契合,利益高度吻合,那就要形成戰(zhàn)略合作關(guān)系了——strategic partnership,來看個例子:

Dear Mr. Robson:

We would like to form a strategic partnership with your company. We believe such a partnership would give both our companies an edge in this market in terms of buying power.

16. Task force team

在職場工作中,我們時常要召集同事一起開會討論討論。在商務郵件中,開會的時間、地點是要很明確的,你可以這么說:

let’s meet on March 20 at 10:30 a.m. in Conference Room B.

(3月20日上午十點半我們在B會議室見。)

你也可以這么說:

We’re having our weekly progress meeting on Friday, January 31, at 10 a.m. at my office.

(1月31日星期五大家在我的辦公室開進展情況周例會。)

通常,企業(yè)還會為某個特定項目而由多個部門的管理者組成一個小組,這個小組就叫專責組——task force team(TFT),來看個例子:

Dear all,

The first construction task force team meeting is scheduled for Thursday, November 9 at 2 p.m. If you can’t make the meeting, please let me know by tomorrow.

17. At your convenience

當我們跟合作伙伴在線上聊得差不多了,這時候就要見網(wǎng)友了。

商務郵件中,用convenient詢問對方什么時候見面比較方便就很得體,比如你可以這么說:

When is a convenient time for me to visit??

(我什么時候去拜訪你比較方便呢?)

當然,你也可以這么說:

If you would like to discuss this matter further, I would be glad to meet with you at your convenience.

(如果你想就這件事再做進一步討論,我們很樂意在你方便的時候去見你。)

We are very much interested in discussing the upcoming project in more detail with you, would Wednesday or Thursday of next week be convenient for you?

18. Contact information

人脈很重要,多個朋友多條路。但首先,你得有人家的聯(lián)系方式——Contact information。

而且我們常常都是需要向朋友介紹別的朋友,或者需要朋友介紹自己給別人,這時你可以這么說:

If you could introduce me to Mr. Seville at Seville Josh & Associates, I would be grateful.

(如果你能把我介紹給塞維爾喬西聯(lián)合公司的塞維爾先生,我將很感謝。)

你也可以這么說:

I would have to say Paul is probably the best authority on that type of information. Here’s his contact information.

(保羅大概是那方面信息最權(quán)威的人,這是他的聯(lián)系方式。)

19. In response to

在商務郵件中,我們經(jīng)常要回復客戶、合作伙伴的咨詢和要求。這時,回復郵件里用in response to(作為對......的回答)來開頭是再好不過了,你可以這么說:

In response to your query, I’m attaching the specification for the X-900 model.

(作為對你咨詢的回復,我現(xiàn)附上X-900型號的規(guī)格。)

你也可以這么說:

In response to your question about discount for cash payment, we have attached a spreadsheet showing discount rates per each item we offer.

(作為對你關(guān)于現(xiàn)金優(yōu)惠問題的回復,我已附上折扣電子表格。)

In response to your e-mail of December 1, I’m pleased to be able to send you our comprehensive product catalog, attached in PDF format. I look forward to your first order.

20. May I get your approval

“望領(lǐng)導批準”在英文郵件里怎么說呢?哈哈哈很簡單就是——May I get your approval。

這種類似的表達還有很多,比如:

Please allow me to purchase a new laptop computer as my old one is now five years old.

(請允許我一臺新的筆記本電腦,因為舊電腦已經(jīng)用了5年了。)

你還可以這么說:

With your permission, I would like to discuss the contract directly with their attorneys.

(如果你同意的話,我想直接跟他們的律師討論合同事宜。)

May I get your approval to attend the Fashion & Apparel Trade Show in Dallas, Texas, from July 2 to 5?

21. Please proceed as planned

在商務電子郵件中,我們也會給同事和下屬做一些指示,你可以直接簡單地說:My directions are as follow(我的指示如下)。

無關(guān)或不必要的內(nèi)容要省去,關(guān)鍵的信息要說明,還有就是要避免使用命令的語氣,你可以這么說:

Please proceed as planned.

(請按計劃進行。)

You may want to double-check with Frank about the figures.

(你也許需要跟富蘭克林再次核對一下這些數(shù)字。)

You are not to discuss this matter with Mr. Zhao under any circumstances.

(無論在什么情況下,你都不能和趙先生討論這件事。)

It may be wise to simply wait for the other side to make a move.

(或許等對方先采取行動是明智的。)

22. Major priority

工作嘛,最重要的事情就是分得清輕重緩急。

Major priority是首要大事,secondary importance是次要的。要在商務郵件中說明事情的重要程度,你可以這么說:

I strongly recommend double-checking all data from the research.

(我強烈建議復核研究中得出的數(shù)據(jù)。)

Our major priority at this point is to figure out a way to salvage our relationship with Mr. Cranston.

(目前我們的首要大事是挽回我們與克蘭斯頓先生的關(guān)系。)

Dear peter,

I think the most important thing is to first ascertain the extant of the damage at the warehouse caused by the rain. Only then can we formulate an action plan to address this problem.

23. IMHO

當別人問你:“這件事你怎么看?”你就需要說出自己的觀點了。

如果你想禮貌、委婉一點,你可以用IMHO(in my humble opinion),它可以表達“依我之拙見”的意思,這是一個非常通用的縮寫,比如:

IMHO, the performance of the new PR agency has been less than expected.

(依我之拙見,新公關(guān)代理的表現(xiàn)低于預期。)

當然,態(tài)度可以委婉,但自己的想法要明確、慎重地傳達給對方的。比如:

As far as I’m concerned, the rumors are absolutely false.

(就我而言,那些傳聞都是假的。)

24. Three-step process

雖然我們不是王健林,但在職場中也要時不時定一下小目標的!

Long-term goal是長期目標,tentative plan是暫定計劃,three-step process是三步走過程。如果需要在商務郵件中說明計劃和目標,你可以這么說:

As you know, our long-term goal is to become the leading mobile content provider in Asia.

(你知道的,我們的長期目標是成為亞洲領(lǐng)先的移動內(nèi)容提供商。)

In the short term, we want to develop at least five new original cable programs.

(在短期內(nèi),我們希望開發(fā)5個新的原創(chuàng)有線電視節(jié)目。)

Our tentative plan is as follows:

(我們的暫定計劃如下。)

This three-step process is designed to accelerate our entry into the beverage import market.

(這個三步走計劃是為了加快我們進入飲料進口行業(yè)的速度而設(shè)計的。)

25. You have my word

“我承諾你”在商務電子郵件中應該怎么說呢?哈哈哈很簡單,就是you have my word。需要注意的事是,我們承諾的事情要做到哦,類似說法還有很多,請看:

You have my word that the final version will be on your desk by 3 p.m. Friday.

(我承諾周五下午3點之前,終稿會在你的辦公桌上。)

I can guarantee the safe delivery of your vase.

(我可以保證你的花瓶會安全送到。)

Dear Carol,

We understand your concern, but let me reassure you that the custom-made desks will be delivered to your office by this Friday. Once you receive the desks, our 2-year warranty will go into effect.

26. Two thumbs up on that

Two thumbs up on that是我完全同意的意思,這可以用在我們對同事、合作伙伴的提案表明態(tài)度的時候。當然,你還可以這么說:

We are most definitely on the same page.

(我們確實意見一致。)

You have our full support on this one.

27. I'm not buying the argument

I’m not buying the argument是我不買賬的意思,在商務郵件中可以用來表達對他人意見的反對。這樣的用法還有很多,比如:

To be fair, I think your opinion has its merits, but it just doesn’t work for us.

(公正地說,我認為你的意見有它的優(yōu)點,但對我們行不通。)

I have difficulties understanding your point about needing to finish the production by this week.

(我很難理解你關(guān)于這周前需完成生產(chǎn)的理由。)

Dear Claire,

Thank you for suggesting that we change the color of the training binder. I can understand your reason for wanting to have all materials match the T-shirt you’ve ordered, but we think that doing so now would be unrealistic and too costly.

28. Submit my resignation

鐵打的公司流水的員工,我們難免都要辭職的。那么怎么寫一封得體的辭職郵件呢?

With great reluctance(很不情愿地)和submit my resignation(遞交辭呈)了解一下,當然,好聚好散嘛,郵件里也可以提及一下自己的離職理由和對公司的感激之情!

With great reluctance, I am submitting my resignation.

(我很不情愿地遞交我的辭呈。)

As I mentioned during our discussion yesterday, I could not pass up the opportunities and financial benefits presented by the offer.

(如我們昨天所討論的那樣,我無法拒絕那個聘用通知所描述的機會以及經(jīng)濟利益。)

29. Ask for two days off

常在河邊走,哪能不感冒生病一下啥的。再加上我們這么愛加班,生病那是在所難免了。那么,在商務郵件里怎么請病假呢?請看:

(我能休一天假去看醫(yī)生么?)

I will need to stay home for several days to recover from the car accident.

(我需要在家休養(yǎng)幾天以便從車禍中康復。)

I will have to ask for two days off to get a full checkup on my condition. I am sorry about the short notice, but it couldn’t be helped. Please let me know if you’re okay with my taking the two days off.

30. Please clarify what you meant
